This position is designed to prepare individuals for a position as a Community Manager. An Assistant Community Manager will be asked to assume greater responsibilities upon learning and applying knowledge of all aspects of property management as well as displaying maturity and good judgment. The Assistant Community Manager serves as the individual responsible for the property in the absence of the Community Manager and serves as a role model to peers. Depending on the size of the property, the duties and responsibilities of the Assistant Manager and Leasing Consultant may overlay. The On-Site Manager has the responsibility of combining or separating these duties. In the event of the Manager’s absence, all duties as listed for the Manager become the responsibility of the Assistant Manager. ESSENTIAL PERFORMANCE SKILLS, DUTIES, AND RESPONSIBILITIES: • Works closely with the Community Manager in learning all aspects of management including administrative and financial duties. • Assumes responsibility for supervising staff and managing the property in the Manager’s absence. • Works closely the Manager in developing an integral team that effectively sells the quality and professionalism of Arlington Properties. • Inspects property common areas, apartment units and grounds on a regular basis. Offers recommendations to management regarding improvements to the overall operation of the community. • Familiarizes one’s self with all aspects of maintenance. • Understands financial and operational reporting requirements. • Collects all rent payments from both current and previous residents. • Makes daily community deposits in regard to rent collections and any other miscellaneous income. • Processes all community invoices. Assists in monitoring and recording paid invoices into various administrative log books. • Distributes non-payment notices to all delinquent residents and completes follow-up activity in regards to non-payment of rent or eviction proceedings. • Maintains a general working knowledge of state laws in regard to collection of delinquent accounts. • Inputs all residents’ information in relation to walk-in traffic, move-ins, move-outs, apartment conditions, etc. Maintenance all current and previous resident files. • Assists the Manager in ensuring that all leases and addenda are completed accurately in regards to addresses, names, rates, etc. • Ability to understand and explain legal documents (i.e. leases and addenda). • Understands and applies principles of Fair Housing. • Supports the overall efforts and offers input and suggestions in regards to promotions, advertisements, rate increases, etc. • Assists in various leasing activities as required. • Maintains up-to-date knowledge of market and competitive properties. • Assist the Manager with renewals of existing residents. • Assists the overall team effort through effective leadership. • Analyzes concerns associated with apartments that are slow to lease and offers recommendations. • Earns respect of leasing staff and maintenance team. • Assists in the handling of resident service requests and various concerns as required. • Conducts follow-up activity as need with new and current residents in order to establish and maintain positive resident relations. • Attends and assists with resident social functions and activities as requested. • Assists in creating the monthly newsletter. • Attends and participates in training seminars as requested. • May be required to drive motorized vehicle on or off property for Company business. Run errands as necessary. • Represents the Company in a professional manner at all times. Consistently maintains in professional courteous attitude when dealing with residents, co-workers and the general public. • Performs other duties, as assigned. • Must be regular and predictable in attendance; • Must be able to work in a cooperative, respectful and professional manner with co-workers, supervisors, Community Managers, Regional Managers and Residents; • Must have the ability to complete an assigned task in a safe manner and in a constant state of alertness and must be able to understand and follow all safety rules; • Work professionally, efficiently and effectively under deadlines and productivity standards; • Performs other related duties, as required, and follows all Company Policies and Rules. (Related duties, as required, are duties which may not be specifically listed in the class specification or position description, but are within the general occupational series and responsibility level typically associated with the employee’s class of work.) This job description does not constitute a written or implied contract of employment. JOB QUALIFICATION REQUIREMENTS: Knowledge/Experience: A high school diplomas or equivalent is required. A college degree or related coursework in business, hospitality or property management is preferred. Property management and leasing skills preferred. Sales experience or education desirable. Excellent communication, organizational and leadership skills necessary. Prefer sales/multi-family leasing experience and product sales. Marketing and budgeting experience preferred. Computer literacy required. Experience with computerized property management and/or accounting software preferred. Machines, Tools and Equipment, Software: Computer w/internet and e-mail capabilities, Telephone, Facsimile, Photocopier, Vehicle. Licenses/Certificates: Valid drivers’ license and good driving record along with auto insurance required. Other Requirements: As an Arlington Properties associate you represent Arlington Properties. While you are on the job, Arlington Properties expects you to wear clothing and accessories that are appropriate in a professional business environment. If a uniform is required at the property, you are expected to wear it. Refer to Arlington Properties Dress Code Guidelines for additional information. Must be able to work any of the seven days of the week as necessary to get the job done. Must have regular and predictable attendance. PHYSICAL AND VISUAL ACTIVITIES: Ability to interpret, evaluate and communicate detailed written or verbal instructions to others accurately and quickly, including answering phones, attending meetings, written correspondence or other forms of communication. Ability to organize various office systems through adjusting, connecting, lifting, pulling, pushing, bending or folding for the purpose of proper records development and/or management. Ability to lift push, pull or carry up to 15 pounds for the dissemination or documents, supplies, materials, etc. to various locations throughout the office/facility.
